Case Study: IT Services for Local Government

IT Services for Local Government

At a Glance This building authority manages a large number of university facilities and construction projects. The responsibilities are shouldered by a small staff that needs reliable IT systems to stay on top of the task.

"We have an excellent relationship with All Covered. They are very invested in helping us in every way."

Ellen Bell
Massachusetts State College Building Authority

All Covered steps in to support the IT needs of a complex building management organization.

The Context

Choosing an IT services provider is not an easy process. You only know the quality of a firm's work once they have been engaged. Getting a good reference from someone can help, which made a difference for this building authority in their search for a strong long-term IT partner. They found All Covered to be well suited to their needs.

The Client

The Massachusetts State College Building Authority was established by the state's legislature in 1963 to plan, design, finance, and construct housing and student activity facilities for nine college campuses. Approximately 13,000 students reside in the 40 residential complexes owned by the Authority; these facilities house one-third of full-time undergraduate students and comprise about three million square feet of space in approximately 90 separate structures on the nine state university campuses.

With a staff of 15, that includes 7 project managers, the Authority operates from offices in downtown Boston. A local IT company had provided support in the past, but Chief Administrative Officer Ellen Bell did not feel that they were getting adequate support. "We didn't feel well looked after and I knew that we needed something better."

Ms. Bell initiated a search for a new IT service company and received a recommendation from another local company that was already being supported by All Covered.

All Covered Support

All Covered's services fit the bill perfectly, combining the resources of a national organization with the local touch of a company with a decade-long history in Boston. Ms. Bell commented that "we wanted someone that would really pay attention to us. All Covered certainly does that."

All Covered helped with an office move for the Authority; deployed new servers; established an off-site backup system and supported a hosted Voice over IP phone system.

All Covered's Client Portal has proven to be a very useful way for the Authority to keep track of upcoming visits, build task lists and report issues. And when they need to call for urgent response they have found the All Covered Client Service Center team to be very persistent and tenacious in resolving even the most challenging issues.

The next phase of the partnership is to focus on disaster recovery planning and business continuity. Ms. Bell explained that "we really need the advice that All Covered can bring from working with their other clients. We can't afford to have that kind of expertise on staff in a full-time position, but we really need it when we are having discussions about our IT strategy."

Ellen Bell summarized things by saying that "we have an excellent relationship with All Covered and feel it has been a very productive partnership together."
